Purchasing Specialist

The Purchasing Specialist is a detail-oriented, self-starter who prides themselves on having strong customer service skills, holds themselves to a high standard of performance, and has a get-it-done attitude to join the finance team. As a purchasing team member, you will be part of a team processing a high volume of orders and working closely with sales to resolve order issues. You will work with the accounts payable team to resolve billing issues. You will work closely with our vendors to ensure fast and accurate processing. You will be an expert at navigating systems and thrive in a fast-paced environment.

Responsibilities

  • Act as a backup to review all submitted Opportunities for accuracy and adherence to company policy until Sales Operations Administrator is trained as a replacement
  • Review customer and vendor payment terms
  • Complete data on the sales orders for the billing teams to accurately process invoices.
  • Submit purchase orders to vendors
  • Work closely with vendors to ensure timely delivery of all orders
  • Troubleshoot fulfillment issues (such as missed shipments and wrong products sent) and resolve them in a timely manner according to Waterfield Tech policy
  • Communicate order confirmation, ship date, and tracking information to customers, Project Management, and Sales
  • Track all orders to completion
  • Assist with new item creation and proper ARM and GL mapping
  • Enter Proof of Delivery, POD Dates, and Revenue Recognition Dates on Purchase Order and Sales Orders
  • Identify recurring support and create a record in NetSuite for internal tracking purposes
  • Maintain contracts repository with pertinent contract information for internal and external customers
  • Manage multiple tasks throughout the day with efficiency
  • Process cancellation and RMA requests
  • Coordinate with the finance team on all credit, payment, billing, and returns issues
  • Other duties and responsibilities assigned by management.
  • Process customer invoices for MAC billing
  • Enter New Vendors in the system with the proper onboarding documentation

Qualifications

  • Must have 2+ years of experience in Order Management or other Sales Operations role.
  • Strong organizational skills to effectively assist with adherence to deadlines, attention to detail, and strong problem-solving and decision-making.
  • Willing to accept and function in a constantly changing, fast-paced environment
  • Excellent verbal and written communication skills.
  • Flexibility in work schedule when required.
  • Must be able to work as part of a remote team with peers and leadership.
